Tracking reused content

To help you keep your reorganized content organizing, VIVA will provide you a Reused Content Tracker spreadsheet [The link will take you to the spreadsheet and ask you to make a copy]. This spreadsheet will help you keep track of
  • Where you found the content
    • Remember to follow the trail back to the original source (e.g., navigate to the original image from a link on Pinterest), which will let you know where the content came from and who created it to double-check the license and provide appropriate attribution.
  • The attributes (e.g. creator, title, source URL) of the content
  • Licenses and permissions
    • Track which items for which you’re claiming fair use, which have open licenses (and which one), and which you have requested and obtained permissions.
  • Requested/required citations or attributions
    • Sometimes the copyright holder requests that you attribute them in a particular way. It is important to follow those guidelines to be in compliance with copyright.
  • Where the content is in your work
    • This can also help later if creating an image credits section or attributions index.

You should complete the spreadsheet to the best of your ability. It can be completed in Google Sheets or downloaded and completed in Excel.

A copy of the spreadsheet should be submitted to VIVA along with your manuscript for production. VIVA will review them to ensure that you are in compliance with copyright. VIVA may also ask to see a copy of permissions forms, if any content required requesting permission for use.
